Position: Manager of Development Services Division: Institutional Advancement
Reports to: Vice President for Institutional Advancement
Job Summary: This position is responsible for expert management of the database held in Raiser’s Edge, as well as the accurate receiving and processing of daily gifts. Generating acknowledgment letters and pledge reminders to donors in a timely manner. The Manager will also enter and extract constituent information from the database and provide Institutional Advancement with accurate reports regarding gift and pledge information, campaign prospects, donor research, data analytics, moves management, prospect lists by geographic area and donation size.
Essential Functions & Responsibilities:
- Management and oversight of Blackbaud’s Raiser’s Edge fundraising software and database.
- Develop “Best Practices” for the management and use of prospect information and establish policies to preserve their effectiveness.
- Maintain all development portfolios as defined in Institutional Advancement to create a plan for points of contact and documentation in Raiser’s Edge.
- Maintain accuracy of all data and help create and produce accurate reports that will enhance strategic planning.
- Clean and correct data daily that includes change of address, emails, alum/clergy placement, deceased records, graduation dates, new student information; also conduct donor research as time allows.
- Track and report gift receipt information to Institutional Advancement and Accounting staff.
- Manage entirety of the acknowledgement process; generate gift acknowledgements in a timely manner, processing all gifts within 48 hours of receipt.
- Input and run all credit card donations through the third party processor.
- Track gift pledges and prepare pledge reminders quarterly as requested by Vice President.
- Coordinate and supervise the preparation and segmentation lists for all annual fund, planned giving, campaign, scholarship solicitations and acknowledgements.
- Run reports, queries and utilities to monitor the accuracy of data stored in RE.
- Develop database policies and procedures for IA.
- Manage and develop year-end formal tax reports to all donors.
- Maintain electronic filing system within Raiser’s Edge in a timely and accurate manner.
- Oversee 2-3 comprehensive annual fund solicitations a year.
Qualifications & Special Skills:
- Bachelor’s degree.
- Fluency in Raiser’s Edge; proven track record of effective database management.
- Outstanding attention to detail and accuracy and efficient time management.
- Must be able to work as part of a team, manage multiple tasks and details, report regularly to the team.
- Good writing, communication and organizational skills.
- Must be capable of working with sensitive information with complete confidentiality.
- Experience in higher education fundraising a plus.
- Two to three years of experience working in an advancement office preferred.
Additional Requirements:
This team player has an understanding of the value of accuracy and attention to detail as well as the importance of stewardship in a high functioning fundraising department intent on building strong relationships with alumni and supporters. He/she also understands that data integrity is of the upmost importance to the full function of Institutional Advancement and must have demonstrated an understanding of data systems and management. The skill set required must include the ability to design and retrieve clear and accurate reports and queries that support the needs of the department without supervision. Other requirements include the ability to problem solve in a complex environment; to troubleshoot and provide problem resolution to technical problems; to research and analyze data in a way that will sustain and improve the success of IA work. This professional candidate must have an understanding of development standards and trends that are be key to building a robust plan for reporting and analyzing data. The ability to handle multiple tasks and projects simultaneously is essential. Participation as a member of the IA Team in weekly staff meetings as well as additional strategy sessions and assisting in the support of certain special events, including but not limited to the twice-yearly Annual Fund Phonathon is required.
